Under the direction of the Manager, Registration and Records, the incumbent provides a wide range of independent support to the College functions. This includes coordinating the U-Pass program within the Registrar’s Office, ensuring the accuracy of sponsorship information and status of sponsored students; administering the Ministry Tuition Fee policy for students with disabilities; as well as administering policy HR17, Partial Tuition Fee Reimbursements for Dependants of Full-Time Employees.
The incumbent provides fees guidance and support to Registrar’s Office staff with respect to multiple specialized student account processes including U-Pass, reduced tuition fee policies, sponsorship and retroactive accommodations. Additionally, the incumbent Liaises with student services and academic areas on specialized student fee policy matters, provides client service to students who have escalated specialized student account related issues.
The Student Accounts Specialist is the prime contact for the Centre for Accessible Learning employees, including Counsellors and their clients on student account matters, in particular, the Reduced Tuition Fee Policy for students with disabilities. They are also responsible for the creation and delivery of the annual CAL report to the Ministry.
The Student Accounts Specialist provides direction and guidance to the Student Accounts Officer when dealing with escalated U-pass and Sponsorship questions. The incumbent assumes a pivotal role in sponsorship management and actively supports the sponsor and sponsored learner relationship from a Registrar’s Office perspective.
The successful candidate will need to possess knowledge, and ideally experience, of diverse sponsorship arrangements, accompanied by a keen assessment of the fiscal and resource-related ramifications inherent to these agreements. This knowledge will enable them to provide expert guidance and address fee-related inquiries, ultimately contributing to the successful retention of sponsored students.
Required Qualifications:
  • Three (3) Year diploma/degree or equivalent; Business Administration, Social Science or similar field;
  • Five (5) years progressive office experience in a service area or in a business office setting; experience in a student service environment or Registrar’s Office preferred. Experience with databases and a Student Information System is preferred;
  • Coordinating activities with conflicting deadlines in a timely matter;
  • Experience coordinating activities with conflicting deadlines;
  • Thorough knowledge of policy interpretation and execution, with experience acting under privacy acts is required;
  • Progressively senior clerical experience in an independent setting.
Additional Qualifications:
  • Excellent communication skills, both oral and written, and well-developed listening skills;
  • Proven planning skills and decision-making abilities;
  • Excellent client service skills; diplomacy and sound judgement is essential;
  • Ability to foster effective working relationships, supporting the teamwork structure both internal and external to the unit;

  • Excellent organizational skills and attention to detail;
  • Ability to identify, participate and implement lean process improvements;
  • Ability to multi-task under pressure and to meet inflexible deadlines;
  • Ability to respect confidentiality;
  • Ability to take initiative and work both independently and in a team environment;
  • Exceptional computer and keyboarding skills including experience with the MS Office Suite;
  • Experience working in an intercultural environment would be considered an asset;
  • Experience working with Salesforce/Student Information Systems would be an asset.
